How Emerge reached 80%+ adoption and zero-touch scheduling with HubFlow

Emerge, a leading freight procurement platform, selected HubFlow to automate truck appointment scheduling across its freight operations after a comprehensive vendor evaluation.

Within 3 weeks of contract signing, Emerge had integrated HubFlow into its proprietary TMS and was scheduling live freight. One year later, HubFlow is deployed across more than 80% of Emerge’s scheduling volume. HubFlow schedules up to ⅔ of shipments with zero human touches, while surfacing exceptions automatically in Slack for rapid resolution.

Moving beyond “scheduling copilot” software

Emerge wasn’t looking for a scheduling “copilot” that would depend on operators to manually trigger workflows or only handle a part of the scheduling process. They wanted a true scheduling autopilot capable of autonomously planning and scheduling full shipments:

The partnership model Emerge and HubFlow chose kept things simple for operations personnel by having HubFlow take full ownership of the scheduling workflow. In practice, HubFlow functions more like a coworker than a copilot:

  • Loads are sent directly from Emerge’s TMS into HubFlow

  • HubFlow plans the shipment and chooses optimal appointment times

  • HubFlow books appointments across email, portal, and phone stops, automatically re-planning the shipment when facility availability changes

  • Exceptions are automatically surfaced to operators in Slack

  • Over time, operators can choose to automate exception handling in HubFlow

Emerge had been evaluating other scheduling technology partners as well as building a solution internally, but chose HubFlow based on its ability to act as a scheduling orchestration layer. Today, on accounts where autopilot is enabled, HubFlow completes the full scheduling workflow for more than 90% of shipments, and two-thirds of these are scheduled with zero touches from Emerge’s team.

Fast deployment driven by aligned incentives

To go live, HubFlow integrated directly with Emerge’s ProcureOS platform and began scheduling live shipments in less than three weeks. 

A major factor behind the rapid rollout was strong alignment between the two teams. HubFlow’s outcomes-based pricing model and operational focus on scheduling created shared incentives around deployment speed, adoption, and automation coverage.

During the rollout, HubFlow prioritized the workflows and features Emerge needed most and was able to adapt quickly to changing needs.

They’re responsive, they look for solutions instead of blockers, and they kept things moving from development to production. That partnership made it much easier for us to get our automation live.

For example, phone-based scheduling was not anticipated as a major need at the start of the partnership, but became necessary to automate scheduling for some accounts. HubFlow was able to quickly partner with Emerge’s voice AI provider CloneOps to trigger scheduling phone calls and update appointments directly in ProcureOS. 

Similarly, the HubFlow tech team built a Slack app to notify Emerge’s operations teams when automation was blocked, and give them quick actions to resolve common exceptions:

  • No response from facility → automate follow up

  • PO not available in scheduling portal → escalate via email

  • Login failures / password changes → update credentials

  • Impossible or excessive transit → update schedule

  • No appointments available → date change

The result was a deployment process centered around one shared goal: maximizing autonomous scheduling coverage. As HubFlow adapted to more workflows, edge cases, and operational constraints, more shipments moved into touchless execution.

Scaling a scheduling autopilot

Since launch, Emerge has rolled out HubFlow broadly to their largest accounts and developed a repeatable playbook with the HubFlow team for scaling automation across its network.

Initially, onboarding a new shipper required a 30-minute phone call with Emerge’s operations team to review scheduling automation settings and HubFlow’s suggested appointment times. Now, Emerge and HubFlow have built a process where new accounts can be launched asynchronously. 

In the new model, Emerge allows HubFlow to launch with autopilot capabilities on Day 1. HubFlow fully plans shipments, selects appointment times, and executes scheduling — removing humans from the loop entirely.

We send the full shipment, and the tool takes care of the scheduling across all stops. When it comes back into our TMS, everything is already set, so our team can move straight to the next step.
